Abstract

The purpose of this paper is to analyze and address communication and task norms developed by Team Bravo (Trident University International, Module 3 – SLP, n.d.).This paper will answer the question, “Which behavioral norms are essential to Team Bravos performance (Trident University International, Module 3 – Case, n.d.)? In order to provide an answer to this question we will examine the following issues. First, we will examine two communications and two task norms that operate within Team Bravo (Trident University International, Module 3 – SLP, n.d.).

Second, we will consider problems and limitations that Team Bravo experienced due to a lack of norms governing the team’s behavior along with solutions to the problems and limitations (Trident University International, Module 3 – SLP, n.d.). Finally, we will consider what norms the team should have established early in the forming phase that would have made our work proceed more smoothly (Trident University International, Module 3 – SLP, n.d.).

Structuring Virtual Teams: Building and Maintaining Balance

Communication Norms

Communication norms address the way information is shared. The first communication norm to be discussed is exchange norms.According to Trident University International (Module 3- Home, n.d.), exchange norms are established to ensure all members receive the information required to complete their assigned tasks. Team Bravo decided the primary means of sharing information would be through the Trident Portal via the Threaded Discussion platform. Since all members have access to the Trident Portal, this was the most reliable venue to provide input for the team’s SLP paper.Additionally, this platform provided the means to communicate with other members to ask questions about the assignments and inform the team about personal unforeseen circumstances that might hinder their full participation. Using the Trident Portal Threaded Discussion platform provided Team Brave the necessary exchange norm to ensure all information shared was accessible and provided in a timely manner. The second communication norm Team Bravo implemented was the availability norm.

One challenge that all teams experience is the availability of each team member. According to Settle-Murphy (2012), team members must be provided adequate time to complete their assigned tasks and correspond with other team members.Team Bravo established availability norms during the forming stages of the team.The team agreed on terms that established acceptable timelines for completing assigned tasks and communicating potential issues with other team members.The establishment of availability norms strengthened the trust within the team ensuring all members understood their roles and responsibilities.Team Bravo was successful in defining and establishing availability norms that continue to keep the team on track.Communication norms provide the key to information sharing; but task norms are just as crucial.

Task Norms

Team Bravo established several task norms early in the course to include both process and accountability norms. Process norms ensure that the entire team is clear about their roll in achieving the desired end state, while accountability norms establish timelines and consequences to support achieving the desired end state (Trident University International, Module 3 – Home, n.d.).The team’s choice of the Modular work design helped to establish the process norms. An initial outline of the paper was created for each module and then each member was afforded the opportunity to choose a section of the paper they felt most comfortable writing on.This provided each team member ownership of the final outcome and further established trust across the team as each member was responsible for their section, and the paper could not be completed without the individuals input. Clearly defined individual assignments were critical to the successful outcome of each of the group papers submitted over the entire course.Further, the teams process norms contributed to the establishment of accountability norms.

Once the individual assignments were agreed upon, a submission process and deadline were established to ensure that Chris was afforded ample time to consolidate individual submissions and ensure smooth flow of the paper. Additionally, once the individual submissions were put together into a smooth final draft, Chris would forward that draft to Kelly, who had agreed to be the “quality assurance reviewer to ensure that any missed spellings or grammatical errors were identified and corrected. Once that review was complete, Kelly would then return the paper back to the group for individual submission. This process allowed the team to “set expectations and monitor the results” of team members as they individually worked to achieve the mutually agreed upon goal (Labrose, 2010, p 1). In summary, both the process and accountability norms were heavily influenced by the modular work design module selected at the beginning of the course and aided Team Bravo staying on track and meeting course objectives and timelines. Next, let’s consider some problems and limitation that Team Bravo experienced because of a lack of norms.

Problems and Limitation

Team Bravo did not experience any problems or limitations due to the lack of governing norms. Team Bravo was faced with the challenge of some team members not adhering to established norms.Effective communication between team members are critical components to team functioning (Heathfield, 2017).One norm Team Bravo established was to frequently communicate with each other concerning assignment completions and requesting assistance.During the completion of the Module 3 SLP, there was hesitation by team members to commit to completing some portion of the project.This hesitation resulted in several pieces of the project to be neglected and left unaccounted for.Communication among team members concerning completion of assigned duties and addressing confusion is crucial to the success of the entire team project.The lack of adhering to established norms did not prevent Team Bravo from moving forward. Next, let’s look at how Team Bravo overcame these obstacles.

To answer the question “What norms do you think Team Bravo should have established from the beginning to make our work go more smoothly?” This is a somewhat difficult to answer for “Team Bravo” because the norms that have been established from the beginning are seemingly flawless. According to Illinois State Board of Education (n.d.), team norms are a set of rules developed by group consensus designed to establish a safe, ordered, and productive context for their work. Team Bravo did this initially without error.

But with the thought of no perfect plan, I must think of a few places that Team Bravo could improve on. As a team, I feel like the methods set-up seemed perfect but they are others that could have been applied. For instance, the team could have facilitated that all threads are followed. Doing this will ensure that every member receives thread updates when they occur. Also, the team could have done something else from the beginning was establish a video chat just so all members could see each other which would build trust amongst the team in my opinion. This can be done numerous video chat services like Skype, FaceTime or Hangouts and such. In my opinion, doing what was mentioned above may enhance Team Bravo’s already solid operational approach to virtual team operation.

Tip 1: Set clear expectations on communication methods and frequency. Establish a rhythm in which every team member has the opportunity to contribute. Defining methods and frequency of communications ensure every team members voice is heard and contributes are included in the overall success of achieving the team’s agreed upon goal.

Tip 2:Be confident when you’re sure but also be open to assistance when you’re not!! Enjoy the perks of working in a group, it allows different perspectives as well as enhances multiple ways of learning!

Tip 3:Do not limit yourself to specific communication/information sharing avenues. As the team progresses, it is acceptable to change the way communication is handled. Communication norms are important, but must be adjustable as the team adjusts to one another and their task (Karten, 2003).

Tip 4: Ensuring expectations are understood by all before moving for with them. Once a team develops expectations and gives them to the team, it will not be a bad idea to follow-up to ensure all team member the expectations. According White and White (2016) it is important that you “Check for Understanding” even after providing detailed instructions. And I agree with this based on what I know about team development.

Tip 5:Listen to your teammates and accept that everyone is different. Team members come to trust one another through communication. Those receiving the communication must keep an open mind and remember there are many different views for any given situation (Karten, 2003). Nobody is always correct and no one is always wrong either.
